Guidance for presenters

Guidance for in-person presentations (including symposiums/panels)

Individual paper presentations are allocated a 3o minute slot as part of a longer 60 or 90 minute session with the recommendation of a presentation of 20 minutes with 10 minutes for questions. Symposiums and panels are allocated a dedicated slot which the chair will structure.

  • Bring your slides on a usb or plan to download from the cloud. Laptops can be plugged in if you want to present from your own machine.
  • Ensure your slides are accessible, information is repeated verbally and images are described.
  • Turn on captions in powerpoint in your presentation or use the conference presentation if you are not using powerpoint (see tech guide below).
  • Use microphones where they are available or locate yourself near to the static microphone locations in the smaller rooms. All rooms have a fixed and lapel (roving) microphones. Newlyn SRLG.01 only has a fixed microphone. To guarantee voice re-enforcement in the room the guidance is to use the lapel microphone worn as a lanyard or tie-clip.
  • Be aware delegates may request specific adjustments, for example, closing blinds if there is glare, that you wear a portable microphone for an individual hearing loop system.

Up to three supporting documents can be added to each abstract on the conference platform. Please submit original files ie .docx or .ppt rather than saving them as pdf files where possible.

Guidance for poster presentations

You will be allocated an AO portrait poster board. The boards are 2m high and 1m across (approximately 6ft x 3ft) and will be set up in pairs or trios.

The posters will be displayed in SR GR.07 a large ground floor room in the Newlyn Building for the duration of the conference. Boards are available on a first come, first served basis. Velcro will be provided to attach your poster to the board. There are tables and chairs in the room, which can be moved next to poster boards (most will be moved to the edges of the room to maximise space).

You can also upload a PDF version of your poster to the conference platform, where it will be displayed in the Poster Gallery. Please note that the platform will only accept pdf files for the Poster Gallery. There is no file size restriction. Other supporting materials (for example word versions of your poster) can also be uploaded.

You can order poster printing from the Leeds University Print service (based in Roger Stevens Building) on their website.

Guidance for pre-recorded presentations.

Recorded presentations should be up to 20 minutes in length.

Presentation Recording

Please ensure good quality audio and picture and avoid background noise.
There is no requirement to use PowerPoint or any other visual aids but if you do use visual materials please ensure that:
·        there is high contrast between text and background colours
·        the text size is large enough to read clearly
·        any visual content is verbally described.
Please include captions when recording if you are able.

What to upload
·        Video file in one of the following formats: mp4, mov, avi or wmv
If you record your presentation in Powerpoint, please export it as a video
A onedrive folder has been shared with the first named author of the presentation. Recordings should be uploaded here so we can add it to our Vimeo account. Supporting materials like powerpoint slides or a transcript can be uploaded directly to the Oxford Abstracts platform.

Deadline.

Please upload your presentation by Friday 27th March. Presentations uploaded after this date are unlikely to be included in the conference schedule.
